Issuing an Invoice Without an Appointment

Not every therapist books sessions through AyloCare’s calendar. If you invoice clients directly — or occasionally need to bill for something that isn’t a booked session — you can issue a receipt on the spot, with no appointment involved at all. If you’re connected to myDATA, it’s filed exactly the same way as any other receipt.

This is for money you’ve already received. It records the payment and issues the receipt in one step — it doesn’t send a Stripe payment link for the client to pay later.


Where to find it

Look for a New receipt button — it appears in several places depending on what you’re already looking at:

  • The Payments page (main action button, or the + button on mobile)
  • A client’s row menu on the Customers list
  • A client’s profile, under More actions
  • A client’s Payments tab on their profile

Wherever you open it from, it’s the same dialog.


Issuing the receipt

Choose the recipient

If you opened this from a client’s profile, the recipient is already filled in. Otherwise, search your client list — or, if this person isn’t a client on file, choose “Someone not in my client list” and enter their name (and optionally an email, so the receipt can be sent to them automatically).

Add a description and amount

The description defaults to your standard service description (set in Payment Settings) but you can edit it for this one receipt. Enter the amount.

If myDATA is connected, say how you were paid

Choose cash, bank transfer, IRIS, or card on your own terminal. This is the settlement method that gets filed with the receipt.

Confirm and issue

If myDATA is on, you’ll see a confirmation screen with the exact recipient and amount before anything is filed — check it, since once filed a receipt can only be cancelled, not deleted.


What you need in place first

  • Your business details (legal name + address) — set once in Payment Settings. This prints on every receipt, myDATA or not.
  • If myDATA is on, your currency must be EUR.

If either is missing, AyloCare stops you right at this step and tells you exactly what to fix.


A note on privacy

If you’re connected to myDATA: a Greek retail receipt (ΑΠΥ) sent to AADE carries no information about who the recipient is — only the amount and tax details. So issuing a receipt for someone who isn’t in your client list, with no email at all, is completely fine from a compliance standpoint. The recipient’s name only ever appears on the PDF you download or send yourself.
