How to Access
- Click Settings in the main navigation.
- Select General from the submenu.
- Open the Client Portal tab to see the available configuration options.
Tip: You can also access your General settings, by clicking on the profile icon from the top bar and selecting Settings from the dropdown.
Features
Here, you can enable or disable tools that enrich the therapy journey for your clients:
-
Notes
Allow clients to create, view, and track notes from their sessions. Encouraging them to write down reflections can boost engagement and long-term retention. -
Tasks
Help clients stay organized by assigning tasks, to-dos, or follow-ups. This feature encourages them to actively work on their goals between sessions. -
Files
Enable file sharing so clients can securely upload or download session-related documents, homework assignments, or resources you provide.
Authentication
Under Authentication, you can manage how clients register and log in:
-
Sign in with Google
Let clients use their Google accounts for quicker sign-ups and logins. This can reduce friction and make it easier for them to remember their credentials. -
Email Confirmation
Decide whether new users need to confirm their email before accessing the portal:- On: Sends an email verification link to new users, ensuring valid email addresses and adding an extra layer of security.
- Off: Lets users access the client portal immediately after registering, without verification.
Calendar
Streamline scheduling and policy management by enabling these calendar-related features:
-
Appointment Scheduling
Allow clients to schedule appointments based on your availability, making it easier to coordinate sessions and reduce administrative overhead. -
Apply Cancellation Policy
If you have a specific cancellation policy, enable this setting so the platform can automatically handle or enforce it. This helps maintain clarity and consistency for both you and your clients.
Best Practices
-
Start Small
If you’re unsure which features are most beneficial, begin by enabling only a few core features (e.g., Notes, Tasks) and expand as you receive client feedback. -
Stay Consistent
Make sure your branding and policies match across all settings so your clients have a seamless experience. -
Communicate Changes
If you enable or disable a feature (especially authentication or scheduling options), inform your clients so they know what to expect.
Next Steps
Once you’ve saved your Client Portal settings:
-
Test the Portal
Create a test client account or ask a colleague to register and confirm everything looks and works as intended. -
Monitor Usage
Check how often clients use the enabled features. If adoption is low, consider sending reminders or guides on how to use them. -
Adjust & Evolve
Over time, revisit these settings to ensure they still align with your practice’s goals and your clients’ needs.
