Notes & Shared Reflections

The Notes tab in a client’s profile lets you create written notes that can be shared with the client through their portal. These are different from clinical session notes (which are private) — these are collaborative, intended for the client to see and respond to.

Two types of notes in AyloCare:

  • Shared notes (this page) — Created in the client profile, optionally visible to the client
  • Clinical notes — Created from Templates or appointments, private to you only

Creating a Note

  1. Open a client’s profile and click the Notes tab
  2. Click + Create Note
  3. Fill in a Title for the note
  4. Write the content in the text area — you can use bold, italic, underline, and other formatting
  5. Click Save

Sharing or Hiding Notes

By default, you control whether a note is visible to the client or kept private:

  • Share a note → the client can see and read it in their portal
  • Lock / Hide a note → it stays private and only you can see it

To toggle visibility, use the share/lock icon on the note.

Be mindful of what you share. Once visible to the client, they can read the note immediately. You can always hide it again, but communicate changes clearly.


Viewing and Managing Notes

All notes for a client are listed in the Notes tab in chronological order. You can:

  • Search for notes by title or content using the search bar
  • Edit a note (only the creator of a note can edit it)
  • Delete a note (permanent — cannot be undone)

Comments & Discussions

Each note has a comments section below it. Both you and the client can leave comments to open a discussion.

  • You can edit or delete your own comments at any time
  • This creates a conversation thread under each note, useful for reflections or homework follow-up

Client-Created Notes

Clients can also write their own notes in their portal. These appear in the same Notes tab and work the same way — they can choose to share or hide them from you.

Encouraging clients to write their own reflections between sessions is a great way to improve engagement and track their progress over time.
