The Client Profile

Clicking on any client’s name in the list opens their full profile. This is where you can view and edit all their information, book appointments, and access their session history, notes, tasks, files, and payments.

Profile Card (Left Side)

The profile card shows:

  • Name and photo — Upload or update their profile picture
  • Email — Their login email
  • Phone number — If provided
  • Status — Active, Pending, or Inactive
  • Gender and date of birth

Quick Actions

From the profile header you can:

  • Book Appointment — Opens the calendar pre-filled with this client, so you can schedule a session in one click
  • Invite — Send a portal invitation to the client
  • More Actions (⋯) — Deactivate, reactivate, resend invitation, or delete

Editing the Profile Card

Click the pencil icon next to the profile section to open the edit panel. You can update:

  • First and last name
  • Email and phone
  • Gender and location

Click Save when done.


Overview Tab

The Overview tab holds the fuller picture of the client’s personal situation:

  • Date of birth and age
  • Address
  • Occupation and employment status
  • Relationship status and living arrangement
  • Tags — Labels you’ve applied (e.g., depression, couples, EMDR)
  • Diagnosis — Clinical diagnosis if recorded
  • Symptoms — Presenting symptoms

Click the Edit button on the Overview section to update any of these fields.

Tags are used for filtering and organizing your client list. You can create and manage tags from Settings → Tags.


Profile Tabs

At the top of the client profile, you’ll find tabs for each area of their record:

FilesDocuments and resources uploaded for this client
PaymentsPayment history for their sessions

Client Stats

At the top of the profile you may also see a quick summary of:

  • Total appointments
  • Upcoming appointments
  • Completed sessions

This gives you a fast overview of the client’s engagement with your practice.
