Client Records

Client Records is your complete directory of all clients in your practice. From here you can add new clients, view and update their profiles, share notes and tasks, manage documents, and track their overall journey with you.

The Client List

The main page shows a table of all your clients with:

  • Name — Full name (click to open their profile)
  • Phone number — If provided
  • Email — Login email and contact address
  • Join date — When they were added to your practice
  • Tags — Labels you’ve assigned (e.g., anxiety, couples, adolescents)
  • Status — Active, Pending, or Inactive
  • Assigned staff — Which team member is responsible for this client
  • Actions — Edit, invite, deactivate, or delete

Finding a Client

  • Search — Type any part of a name, email, phone, or tag
  • Filter by status — Show only Active, Pending, or Inactive clients

Bulk Actions

Select multiple clients using the checkboxes, then perform bulk actions like:

  • Deactivate — Suspend access for selected clients
  • Delete — Permanently remove selected clients

Bulk delete is permanent and cannot be undone. Double-check your selection before confirming.


Client Statuses

StatusWhat it means
ActiveClient has registered and can log in to the portal
PendingClient was added by you but hasn’t registered yet
InactiveClient’s access has been suspended

A client moves from Pending → Active when they register through the portal (either via your invitation link, or on their own using your domain).


What You Can Do From a Client’s Profile

Once you open a client’s profile, you have access to multiple tabs:
